Updating Your Group Avatar 

A group's avatar is the first thing members see in their sidebar and search results. It helps distinguish different departments, social clubs, or project teams at a glance, making your Haystack platform feel organized and visually engaging. Whether you want a professional brand logo or a fun emoji, customizing your group icon helps build a sense of community.

📌 NOTE: To update a group's avatar, you must have one of the following roles:

  • Group Owner: You created the group or were assigned as an owner.

  • System Admin: You have platform-wide administrative access.

Step-by-Step Guide

Follow these simple steps to refresh your group's look:

  1. Navigate to the Group: Locate and click on the specific group you wish to update from your dashboard or the groups directory.

  2. Open Settings: In the top navigation bar of the group page, click the Dropdown Arrow (next to the group members) and select Settings.

  3. Find the Group Icon Section: Ensure you are on the General Settings tab. Scroll down until you see the Group Icon section.

  4. Choose Your Visual:

    • Emoji: Select a fun or representative emoji from the built-in picker.

    • Upload Image: Click to upload a custom file (like a team photo or department logo) from your computer.

  5. Save Your Changes: Scroll to the bottom of the page and hit Save. Your new avatar will now be visible to all members!

Note: For custom uploads, we recommend using a square image (1:1 aspect ratio or 112x112) for the best fit.


Best Practices

  • Keep it Clear: Use high-contrast images or simple icons so they remain recognizable even when shrunk down to a small size in the sidebar.

  • Be Consistent: If you are creating icons for multiple departmental groups, try using a similar color palette or style to keep the platform looking cohesive.

  • Use Emojis for Fun Groups: For social or "watercooler" groups, emojis are a great way to signal a more casual atmosphere.
