Setting Up Auto-Archiving for Posts 🗓️

Keep your Haystack intranet fresh, relevant, and noise-free without the manual upkeep! 🧹 With Auto-Archiving, content creators and admins can set an expiration date when creating a post—ensuring outdated announcements, time-sensitive events, or temporary notices automatically retire when they're no longer needed. ✨

Why Use Auto-Archiving?
  • Saves Time: Eliminate the need to set calendar reminders to manually take down old posts.
  • Keeps Content Relevant: Prevents employees from acting on outdated policies, expired events, or old announcements.
  • Improves Search & Engagement: Ensures your company feed and search results only highlight fresh, active content.
  • Maintains a Clean Feed: Keeps your intranet organized and clutter-free automatically.

🔒 Permissions Needed: You must be the Post Author or have Admin/Publisher permissions to schedule, edit, or restore auto-archived posts.

🛠️ How to Set Up Auto-Archive Posts During Creation
  1. Start creating a post as you normally would. 

  2. Under the Publish Date settings within the Post Preview Page, locate the Auto Archive toggle.

  3. Toggle Auto Archive to ON

  4. Select your desired Date and Time for the post to automatically archive. 

  5. Publish or schedule your post as usual. 

 



✏️ Add or Edit an Auto-Archive Date Retroactively:

If you've already published a post and want to add or change an auto-archive date:

  1. Navigate to the published post you wish to update.

  2. Click Edit .

  3. On the Preview Page, locate the Auto-Archive Date field.

  4. Select or update the desired archive date and time. 

  5. Save your changes. 

 



🔄 Restore an Archived Post:

Accidentally archived a post or need to bring content back to life? You can restore it in a few clicks: 

  1. Go to your main Haystack Dashboard

  2. Click the drop-down arrow (˅) located to the right of the Create button at the top of the page.

  3. Select Archived from the menu to view your archived content list. 

  4. Locate the post you want to bring back.

  5. Click the three dots [...] icon to the right of that item.

  6. Select Restore



💡 Best Practices for Auto-Archiving
  • Default for Time-Bound Posts: Get into the habit of enabling auto-archive whenever publishing time-sensitive content (e.g., holiday schedules, office closure notices, or event sign-ups).
  • 📅 Align with Content Review Cycles: For recurring announcements (like monthly newsletters), set the auto-archive date for the first of the following month to keep the feed current.
  • 🛡️ Don't Worry About Loss: Remember that archiving isn't deleting! You can access and restore archived content whenever you need it.
