Recovering & Restoring Archived Content  🔄

Accidentally delete an important company announcement? Need to bring back a seasonal event page or a resource that was archived too soon?

Haystack’s Content Recovery tool gives platform administrators, content managers, and group owners the power to quickly unarchive and restore deleted data. Instead of losing your hard work forever, you can easily pull archived items back onto your main dashboard, keeping your workspace's knowledge base intact and secure.

Permissions & Access Overview

To ensure data privacy—especially regarding secret groups and private pages—access to archived content is strictly based on your role type (see below).

Quick Reference Permission Matrix

Roles are assigned within the Admin Console of Haystack by your Workspace Admin under "Manage Roles". If you need a closer look at how to grant owner permissions (or are curious about what this is exactly), you can click HERE for our full guide.

User Role Can See/Restore Own Content? Can See/Restore Others' Content? (Standard Groups) Can See/Restore Content in Secret Groups? Can See/Restore Private Pages?
Workspace Admin Yes Yes, including all public events, posts, pages and resources. Yes Only if they are the author.
Post Admin Yes Yes Yes, as long as they are a member of that group. Only if they are the author.
Event Admin Yes Yes Yes, as long as they are part of that group. Only if they are the author.
Resource Admin Yes Yes Yes, as long as they are part of that group. Only if they are the author.
Group Owner Yes Only content in the group they are the owner of. Only if they are the owner of that secret group. Only if they are the author.
General User Yes No Only if they are the owner of that secret group. Only if they are the author.

⚠️ Important Exceptions:

  • Deleted Groups: If content belonged to a group that has been completely deleted, that archived content will remain hidden and cannot be recovered.
  • Private Pages: To protect strict user privacy, only the original author of a private page can see and unarchive it. Not even Workspace Admins can bypass this rule.

Step-by-Step Guide: How to Restore or Hard Delete an Item

Follow these simple steps to locate an archived item and either restore it to the platform or permanently delete it.

  1. Navigate to your Main Dashboard: Log into your Haystack intranet account.
  2. In the top navigation bar, locate the Create button. Click the drop-down arrow directly next to it and select Archived.
  3. Filter and Locate: You will now see a list of all archived items you have permission to access. Based on your access, you may see different archived content including posts, events, and/or pages.
  4. Choose Your Action:
    • To Restore: Click the three dots [...] to the right of that line and select "Restore" to push it back live onto the platform.
    • To Hard Delete: Click Delete if you wish to wipe the data completely.
Note: This action is permanent and cannot be undone.
