Creating Pages
Pages are fantastic for long-term knowledge. Here's how you get one started and manage its visibility.
Private vs. Shared Pages
Haystack has two kinds of pages to suit your needs:
-
Private Pages: Only visible to you, the author. These are perfect for working on drafts or personal notes.
-
Shared Pages: Visible to all members of the Group they are published in. This is how you share official documentation. (Note: Only users with content creation permissions can create shared pages.)
How to Create a Shared Page
-
Click Create in the page header.
-
Select Create Page from the content type selector.
-
Add a title and your great content! Use the editor guide to add images and media.
-
Use the dropdown arrow at the top of the page to select the Group where you want your page to live.

-
Use the three-dot button next to the save button to check out any special settings.
-
Click Save to publish your page!
Converting a Private Page to a Shared Page
Got a private page that’s ready for the spotlight?
-
Navigate to the private page you want to share. (You can find these in the "Private Pages" section of your All Pages index.)
-
Click the dropdown arrow at the top of the page and select the Group you'd like to share it with.
-
Click Save. It's now officially a shared page! (Heads up: Once a private page is moved to a public group, you can't turn it back into a private page!)
Creating and Managing Private Pages
Creating a Private Page
Since every Haystack page starts out as a private page, creating one is a snap!
-
Click the Create button in the top right corner.
-
Select Create Page.
-
Add your awesome title and content. (You’ll notice a little hidden eye icon at the top—that’s your confirmation that the page is completely private!)
-
Click Save. Your page is now securely stored in your personal space.

Viewing and Editing Your Private Pages
Want to revisit a note or get back to editing that big draft? Here’s how you find your secret stash of content:
-
Click on Resources in your header navigation.
-
Select All Pages from the dropdown menu.
-
Click on Private Pages in the left-hand menu.

Once you’re viewing your page, you can edit it anytime! Just click the Edit button in the top right corner, make your changes, and hit Save.
And remember, when your private page is ready for the world, you can easily convert it to a shared page and publish it to a group!
Organizing and Nesting Your Content
Haystack lets you organize your pages with up to four levels of depth (Parent, Child, Grandchild, Great-Grandchild). This makes it super easy to build a logical, hierarchical knowledge base!
Reordering Pages
If you're an admin or group owner, you can easily drag and drop pages into the perfect order.
-
Visit the main Resources page via your header navigation.
-
In the left-hand menu, click All Resources.

-
Find the group you want to organize and click Reorder at the top of that group's section.

-
Drag and drop the pages and sub-pages until they're exactly where you want them.
-
Click Save!

Featuring and Verifying Pages
Give your most crucial documents the VIP treatment with these features!
Featuring a Page

📌 Featuring a page is like pinning it to the top of everyone's Resources landing page. It's the best way to highlight employee handbooks, new policies, or benefits info.
-
Find the resource page you want to feature.
-
Click the three-dot button and select Feature Page.
-
To reorder your featured pages, click Reorder at the top of the featured resources section, drag the cards, and click Save.

Verifying a Page
Want to give your team confidence that they're viewing the most accurate and up-to-date information? Add a blue Verified checkmark!

-
Visit the resource page you want to verify.
-
Click the three-dot button (ellipsis settings) and select Verify Page.

-
The badge is visible to everyone. (Keep in mind: Once verified, only Workspace Admins and Resource Admins can edit that page, so choose wisely!)
And there you have it! You are now a master of Haystack page creation and organization. With a little structure and some great content, you'll have the best documentation around. 📃
