How to Use "Email Preview" for Posts

Boost platform engagement by sending curated teasers of your content directly to employee inboxes.

In a world of information overload, getting your team’s attention is half the battle. Traditionally, Haystack sent the entire content of a post within the email notification. While convenient, this sometimes means users never leave their inbox to engage with the platform itself.

The Email Preview feature changes the game by sending a high-impact "teaser" of your post—showing only the header image, title, and subtitle—along with a clear call-to-action button to read more on Haystack. This drives more traffic back to your workspace, increasing opportunities for reactions, comments, and deeper exploration of other company news.

Prerequisites & Permissions

  • Permissions: You must have Author, Editor, or Admin permissions to create or edit posts.
  • Notifications: Email notifications must be enabled for the specific group or audience you are targeting.

How to Enable Email Preview

For New Posts

  1. Create your content: Draft your post as usual, ensuring you have a compelling header image, title, and subtitle.
  2. Navigate to the Preview Page: Click Continue in the top right corner of the editor.
  3. Configure Notifications: Scroll down to the Notifications section on the right-hand sidebar.
  4. Toggle Email Preview: Locate the Email Preview toggle and switch it to ON.
  5. Publish: Click Publish. Your audience will receive an email featuring only the preview elements and a "Sign in to view" button.

For Existing (Already Published) Posts

If you've already published a post but want to re-send it as a preview to drive more traffic, you can do so retroactively:

  1. Open the Post: Navigate to the already published post on your Haystack dashboard.
  2. Access Post Options: Click the three dots (...) at the top of the post.
  3. Select Broadcast: Click Broadcast from the dropdown menu.
  4. Update Settings:
    • Change the Email setting from "Silent Publish" to User Preferences or Alert All Users.
    • Toggle Email Preview to ON.
  5. Save: Click Save. This will trigger a new notification to your users in the preview format.

Best Practices

  • Hook them with the Subtitle: Since the main body text is hidden in preview mode, use the subtitle to provide a "cliffhanger" or a strong reason why the reader needs to click through.
  • Use High-Quality Imagery: The header image becomes the visual focal point of the email. Use bright, relevant images to grab attention.
  • Balance your Strategy: Use the standard "full text" emails for quick updates or policy changes, and use Email Preview for culture-building stories, long-form articles, or content where you want to encourage social interaction (comments/likes) on the platform.
