Downloading Content as a PDF or Text Article
Learn how to export your Haystack Posts, Knowledge Pages, and Events for offline viewing, sharing, or printing.
Whether you need to share an announcement with a stakeholder who isn't on Haystack yet, or you simply want a hard copy of a resource page for an upcoming meeting, Haystack makes it easy to export your content. You can download most content types as a polished PDF—retaining your formatting and images—or as a clean, plain text file for easy copy-pasting.
Prerequisites & Permissions
-
Permissions: Any user with "View" access to a Post, Knowledge Page, or Event can download that content.
-
Bulk Downloads: Currently, content must be downloaded individually. For bulk export requests, please contact your Customer Success Manager.
Step-by-Step Guide
1. Downloading a Post
To save a news update or announcement:
-
Navigate to the Posts section and click on the specific post you wish to save.
-
Locate the three-dot menu (...) in the top right corner of the post.
-
Select Save as PDF.
-
The file will automatically generate and download to your browser’s default download folder.
2. Downloading a Page
For resource pages and wiki-style content, you have two export options:
-
Open the Knowledge page you want to export.
-
Click the three-dot menu (...) in the top right.
-
Choose your format:
-
Save as PDF: Best for maintaining the header image, titles, and general layout.
-
Export as Plain Text: Best if you only need the raw text to paste into another document or email.
-
3. Downloading an Event
To keep a record of event details or speaker bios:
-
Go to the Events tab and select the relevant event.
-
Click the three-dot menu (...) near the event title.
-
Select Save as PDF.
Note on Rich Media: While PDFs will preserve your text formatting and static images, they cannot include interactive elements. Content embeds (like Google Drive or Looker Dashbaords) and playable videos will be skipped in the download process.
Best Practices
-
Check the Formatting: If you’ve used custom colors or headers, open your PDF after downloading to ensure it looks exactly how you want before sharing it externally.
-
Keep it Internal: Remember that while you can download content, the information may still be sensitive. Always follow your company’s data security policies when sharing exported PDFs.
-
Plain Text for Editing: If you are moving a policy from Haystack back into a Word doc for revisions, use the Export as Plain Text option to avoid carrying over web-specific formatting.
