Workspace Insights: Your Overview (00:56)

This page gives you a quick snapshot of what's happening with your user base.

Statistic What It Means Quick Action
Total Users All people provisioned with an account.  
Activated Users Users who have signed in.  
Unclaimed Users Users provisioned but haven't signed in yet. Click Send Reminder to prompt them to sign in (useful right after launch).
Workspace Health A score based on your activated user percentage.  
 

Manage Workspace: Branding and Culture (01:54)

This is your home for customization, names, colors, and logos—a chance to make your Haystack truly feel like your company!

Names Set your Company Name (used throughout) and Workspace Name (used in header tab, email/Slack notifications). Get creative! 02:08
Rename Items Customize language like renaming "Employees" to "Team Members" or "Anniversaries" to "Haystack-a-versaries." This automatically updates across the workspace. 02:37
Colorways Set your Primary Color (for buttons and text highlights) and Secondary Color (for backgrounds and hover states). Think branding! 03:07
Logo Options Upload logos for your Header Logo (top left), Email Notifications, and Favicon (browser tab icon). Images automatically resize. 03:35
Background Images Upload images for the Login Background (full browser window image) and default Profile/Group Covers. 04:02

Permissions Settings (05:48)

A quick stop to manage who has the power to create and invite.

  • Who can create groups? Most teams set this to Workspace and Group Admins.

  • Who can invite new users? Workspace and People Admins is the default.

    • Important: If you use SCIM (for single sign-on via Okta, Azure, etc.), the invite setting will default to Disabled. This is intentional, as your SSO handles invitations.

Security Settings (07:07)

A highly regulated area. Make friends with your Legal and Security teams before making changes here!

Feature Function Recommendation/Note
Apply Watermark Diagonally watermarks the current employee's name across the entire workspace. Prevents confidential content from leaking via screenshots. Once on, you often forget it's there.
Email Company Footer Adds a customized message (e.g., "This message is internal...") to the footer of all Haystack email notifications. Contact your Legal team for the right copy.
Asset Downloads Enables/disables the ability for employees to download images, files, and PDFs from the platform. Most teams leave this ON. Turning it off applies globally to all content.
Email/Mobile Notifications Toggles all outgoing notifications ON or OFF for your entire workspace. Crucial during implementation! Leave this OFF until launch day to prevent accidental notifications to your team.
Default Reactions/Comments Sets the default state (on/off) for comments and emoji reactions on Posts, Events, and Pages across the whole system. You can still override these settings on an individual content piece. Some teams turn off comments on Resource Pages to direct questions elsewhere.
 

Manage People (10:29)

This is where you manage your user base, permissions, and status.

User State Action
Activated Users Users who have signed in. You can Deactivate them from here.
Deactivated Users Users who no longer have access. You can Reactivate them from here.
Unclaimed Users Users who haven't signed in yet (often the largest group at launch). You can send Reminders and edit email addresses.
 

Manage Groups (11:43)

A high-level view of all your groups, with two handy admin features:

  • Group Types: Create categories and filters for organizing your groups page (e.g., Department, ERG, Office).

  • Mark as Required: Toggle this ON for any group (besides your default All Hands group) that you want to automatically add every employee to, preventing them from leaving.
